WHO WE NEED
Working under the direction of the Manager Tourism & Promotions, the Group Sales Coordinator performs all duties related to group sales to ensure financial targets are met and appropriate client satisfaction levels are achieved. The incumbent actively promotes and sells museum visits to the group market, including Tour Operators, out-of-province school groups, performance groups, conferences, corporations, associations, social groups, birthday parties, academic and religious institutions, and community organizations. Duties include upselling (i.e., exhibitions, tours, team building products and other group visit enhancements), customer service and stewarding group client relationships, billing, coordinating group visits, financial reporting, assisting with advertising to the group market, prospecting new clients, sales presentations, and active sales outreach.

HOW YOU WILL MAKE AN IMPACT
  • Coordinates all aspects of group sales operations, including selling visits, upselling exhibitions and add-on experiences, tailoring packages to client needs, handling inquiries, coordinating bookings, processing payments, and following up to ensure client satisfaction.
  • Drives revenue growth through proactive sales outreach, identifying and pursuing new business, conducting sales presentations, cultivating relationships with key accounts, and maintaining regular contact with existing clients to meet and exceed financial targets
  • Collaborates with internal teams to deliver seamless group experiences, coordinating greetings, tours, team-building programs, dining, and retail components.
  • Prepares and maintains accurate sales and financial reports, including weekly/monthly performance summaries and general ledger reconciliations.
  • Contributes to the development and refinement of group sales products, packages, and visit protocols to ensure market appeal and a consistently high-quality guest experience.
  • Supports marketing initiatives by assisting with group advertising campaigns and creating effective sales and promotional materials.

WHAT YOU BRING
  • Post-secondary education in hospitality, tourism, business administration, or a related field, or equivalent experience.
  • Minimum three (3) years of sales experience, preferably in a cultural or tourism-related institution.
  • Demonstrated ability and proven past performance to meet sales goals and tailor creative offerings to meet client needs.
  • Strong organizational and multitasking skills with proven ability to manage competing priorities and deadlines.
  • Excellent communication and interpersonal skills, with a customer-centric approach and ability to maintain professionalism under pressure.
  • Experience with cold calling, prospecting, sales presentations, and relationship building to meet financial targets.
  • Proficiency with Microsoft Office and experience with ticketing, CRM, or point-of-sale systems (e.g., VivaTickets BOS, or similar).
  • Strong attention to detail, accuracy in handling financial transactions, and commitment to data integrity.
  • Ability to work independently and collaboratively as part of a cross-functional team.
  • Flexibility to work occasional weekends, holidays, or evenings as required for group visits and events.

WHAT TO EXPECT IN OUR INTERVIEW PROCESS
  1. Initial conversation: A 30-minute virtual conversation** with a Recruiter to discuss your interest in the role and ROM and how you can make an impact.
  2. First interview: A 1-hour in-person or virtual interview with the Hiring Manager and a member of the HR team. This in-depth interview will focus on your skills and how they align with the team's and ROM's needs.
  3. Second interview: A 1-hour in-person meeting with the Hiring Manager and relevant team members. You may be asked to present a pre-assigned case study and discuss scenarios relevant to your role. Depending on the position, you might also be given a tour of ROM and receive a preview of your responsibilities and interactions.
  4. Third Interview: a final interview with key stakeholders.
